OFFICE OF THE DEPUTY COLLEGE SECRETARY

WELCOME MESSAGE
The General Administration Unit is one of the most important policy implementation arms of the College of Medicine, University of Lagos’ Administration Department. It has the core mandate of rendering services to Statutory Organs of the College of Medicine including; Court of Governors, Academic Board, Academic Staff Assembly, Tenders Board as well as Academic Departments, Students, Staff and the larger public space. The General Administration Unit consists of five (5) sections, viz:

  • Committee and Planning Section
  • Housing/Procurement Section
  • Stores Section
  • Environmental Health Section
  • Horticulture Section

The General Administration Unit is under the jurisdiction of the Deputy College Secretary who coordinates and supervises the respective sectional heads to ensure optimal performance and service delivery. He also coordinates the activities of the Board of Survey, CMUL Plaza and all Vendors in the College. The total staff strength of the General Administration Unit is Twenty-one (21) including senior and junior members of staff.

ACTIVITIES IN GENERAL ADMINISTRATION
Committee and Planning Section

  • Preparation of documents for statutory meeting i.e. Court of Governors, Academic Board, Academic Staff Assembly, Staff House Ownership Scheme Committee.
  • Taking follow-up actions on the decisions/recommendations of the above statutory organs of the College of Medicine.
  • Preparation of Annual list of Heads of Department for Management approval.
  • Organizing elections for the positions of Provost and Deputy Provost under the supervision of the Directorate of Academic Affairs and providing logistic support for the elections of Deans and Sub-Deans.

Housing/Procurement Section

  • Providing secretarial support of the Housing Committee, purchasing Committee, Tenders Boards, Tenders Evaluation Committee, Procurement Planning Committee, Procurement Committee, CMUL/LUTH Joint Management Committee, Board of Survey, CMUL Plaza Monitoring Committee etc.
  • Preparation of Letters of Award of Contracts
  • Processing of Staff Identity Cards/li.
  • Ensuring that all College tenants pay their rents as at when due and update the Management accordingly.
  • Making necessary recommendations to the Management as regards commercial spaces within the premises.
  • Conveyance of Management approval on allocation of commercial space.
  • Safe-keeping and issuance of College Souvenirs.
  • Carrying out other duties delegated to the Section by the College Secretary.

Stores Section

  • Issue stationery, cleaning materials, hardwares, furniture and copier consumables.
  • Participate in executing contract approvals to vendors.
  • Process executed approvals for payment.
  • Dispatch goods delivered by the Contractors to Departments/Units.
  • Follow-up contract to completion.
  • Generate quotations and data about purchases.
  • Custody of fixed assets written off.
  • Handles requests from Departments/Units on retrieval of junk, unserviceable equipment, materials and others.

Environmental Health Section

  • General environmental sanitation.
  • Waste/Refuse management.
  • Fumigation and pest control duty.
  • Food/water control.
  • Cleaning and clearing of drainages.
  • Inspection of CMUL environment including students’ hostel and staff quarters to ensure clean and safe environment.

Horticulture Section

  • Beautification of the environment.
  • Taming and cutting of trees and flowers.
  • Maintenance of lawns and walkways.
  • Filling of pot holes.
